
In all content based projects, content migration represents a significant component of the project and should be considered as an measure of project success. Whether it is the implementation of a new EDRMS or moving from an old website to a new one, the migration component will represent a significant part of the project.
The Imex team have had a lot of experience with content migration projects. As a result of our experience we have assembled a tool kit of applications to complement our planning expertise.
One of the major issues faced during the migration of documents is duplicates. In most instances a site can expect between 25 and 30% of the documents in the stores to be duplicates. Being able to quickly identify and weed out the copies can take a significant amount of time off the migration exercise.
Using our tools we can identify both exact duplicates and near duplicates. A near duplicate is generally a version of a document or a draft. If you think in terms of the document generation and review process it is not difficult to end up distributing mulitple copies of similar documents all over the network. This occurs when draft documents are sent by email for review, and they are then saved to a location on the network discreet to all the other users sent the same document.
If the document migration is carried out effectively and the document set is moved into a controlled environment such as an EDRMS, this duplication is removed and the single source strategy can be implemented. Users can be sent a link to a centrally managed document, all collaborating on a single copy and keeping its full history while stopping the propogation of unnecessary copies.
